MS Project Planning Practice Exercise #2 – Instructions

You will need:

  1. The Tutorial 2 Start Point Microsoft Project file
  2. The Biafore text – to look stuff up as you go along
  3. A pen to check off tasks as you complete them.

Instructions

First prepare your materials:

  1. Print these instructions then open the Tutorial 2 Start Point file in Microsoft Project.
  2. Get a pen – you need to check off the instructions as you do them.
  3. Save the file, with the file name “Tutorial2_<your last name>” – this will be the file you turn in once you have finished this exercise.
  4. Set the entire plan to auto-schedule.
  5. Insert the WBS column to the left of the task name.
  6. Change the project Timescale to Years / Quarters / Months.

Now, part A: focus on Microsoft Project, check off each item as you complete it:

  1. Fix the typo in the task on row 4.
  2. Add tasks to the plan to reflect the WBS provided (see page 2 for the WBS).
  3. Move task 10 to its proper place in the WBS.
  4. Include a recurring task for Project Control Activities, 2 days per week (Tues/Fri) for the duration of execution of the project. Put in a guess for this duration for now, you’ll fix that later.
  5. Add six milestone tasks to the plan, each one following a summary task:
    M1: Customer Needs Defined
    M2: Org Design Completed
    M3: Support Requirements Developed
    M4: Delivery Plan Completed
    M5: Execution Completed
    M6: Project Complete
  6. Save the file – you have completed part A. Part B continues below.

Now, part B: focus on Microsoft Project, check off each item as you complete it:

  1. Add duration estimates for every task, using the task list estimates provided (see page 2 for the complete task list). Use days as your unit of duration.
  2. For the split estimate tasks, such as #5 – Brainstorm Metrics, turn your initial WBS task into a summary task with as many sub-tasks as you need to accommodate the split – in the case of #5, that would be one task for Preparation and one task for Off-site.
  3. Review your file and make any changes that seem appropriate to enhance the structure. Do not add resources or dependencies yet – we’ll do that next week once we’ve discussed a little more about risk management and human resource issues.
  4. Save your file.
  5. Upload your completed Microsoft Project file using the uploader provided.
